When booking any therapist at Waterloo Farm Wellness, you agree to the following cancellation and rescheduling terms.

This policy exists to protect therapist income and ensure fairness for all clients.

Booking Fee

A 30% non-refundable booking fee is required for all appointments.

During peak periods, a 50% booking fee may apply. This helps protect therapist income and ensures fair compensation during high-demand times when rescheduling or refilling appointments may not be possible.

Refunds

Refunds are only issued if a cancellation or reschedule request is made at least 48 hours before your appointment.

Cancellations & Rescheduling

You must give at least 48 hours’ notice to cancel or reschedule.

Requests made within 48 hours will result in the loss of your booking fee.

Late Cancellations

Cancellations within 24 hours of your appointment incur an additional 25% charge, payable within 7 days.

Unpaid balances may result in the cancellation of future bookings and a pause on further services.

No-Shows

Failure to attend without notice will be charged 100% of the treatment cost.

Please Note

We understand unforeseen circumstances can arise, but late cancellations are likened to unpaid work hours, as it’s difficult to fill last-minute spaces. Your understanding in protecting therapist income is greatly appreciated.

Cosmetic Tattooing booking fees are strictly non-refundable, and reschedules must be made 48 hours prior, please see your forms for specific details on this as they will be slightly different policies and procedures in place.

Packages, memberships, and gift cards are non-refundable.

By booking with Waterloo Farm Wellness, you acknowledge and accept these terms.

All Memberships, Packages and Gift Cards expire within 12 months if not used and you will no longer be able to redeem. If you sign up to a Membership or Package on a date that would then bring you over the 12 months from purchasing, this is fine, it just has to be redeemed/ started before the 12 month cycle.

Most Memberships will come with a mandatory sign up period and can not be cancelled in this time. After which will then be on a monthly billing cycle where you can then cancel. If you wish to then sign up again, the mandatory sign up period would be reinstated. Memberships can not be shared within anyone else unless agreed with by the therapist themselves.

For packages, no refunds will be given if you decide to not continue. If you need to take a pause with your package this is fine, but they must be restarted within 12 months of your previous appointment otherwise the remaining will be nullified. Pauses make include, pregnancy/breastfeeding, a medical diagnosis, medical treatment, travelling etc. Packages can not be shared within anyone else unless agreed with by the therapist themselves.

Digital Gift Cards not be shared between clients as they are linked to one account, and will not be refunded for any reason, they can be used on a specific treatment, therapist, or equally, on any treatments at Waterloo Farm Wellness.

Physical gift cards (bought in salon only, not online) can be shared between clients as this is on a separate account. The above uses for digital gifts cards remain the same.
